How do I register?

Registration opens January 5, 2026 on our conference website.  To receive the early bird registration rates you must register before February 27, 2026. On-line registration will close at midnight on March 13, 2026. On-site conference registration will open March 26, 2026, at 7:00am.


Do you offer group registrations?

Yes, groups over 10 get a 10% discount.


Do you have customer service?

Of course! Our friendly and knowledgeable staff is available to answer your questions. Email conference questions.


Can I register on-site?

Yes, on-site registration starts at 7:00am, Thursday, March  26, 2026. Registration will only be on-line and must be paid before entrance to the conference will be granted. Only credit card payment will be accepted for on-site registration.


How do I pay?

You can pay via credit card or check.  When you register on-line there are payment options.  W-9 is available upon request.

What is the payment deadline for check or offline payments?

Registrations paid by check or other offline payment methods must be received by March 20, 2026.

If payment is not received by this date:

  • The registration will be converted to full conference pricing $235

Failure to submit payment may result in cancellation of the registration at the discretion of the conference organizers.


How do I cancel my registration?

All cancellation and refund requests must be submitted via email to the conference organizers. The date your email is received determines your refund eligibility.

Don't forget to cancel your hotel and travel reservations as well to avoid penalties from these sources.


What is the cancellation and refund policy?

Refunds are issued according to the following schedule:

  • 100% refund if cancellation is received on or before February 27, 2026
  • 50% refund if cancellation is received between February 28 and March 13, 2026
  • No refunds will be issued for cancellations received after March 13, 2026

Refunds not completed through Cvent will be processed within 30–45 days after the conference.


Are registration processing fees refundable?

No. Registration processing fees are non-refundable and are not included in any refund, including full (100%) refunds.


How is my refund amount calculated?

Refunds are issued based on the amount paid, not the current registration rate.

  • If you registered at Early Bird pricing, your refund will reflect Early Bird pricing
  • If you registered at Full Conference pricing, your refund will reflect Full Conference pricing

Can I transfer my registration to someone else?

Yes. Registrations may be transferred to another attendee at no additional cost through March 13, 2026.

After March 13th:

  • Registrations are non-transferable
  • All funds will be forfeited

Transfer requests must be completed through Cvent or submitted in writing and must include the full name and contact information of the replacement attendee.


What happens if I register but do not attend?

Attendees who do not attend the conference and do not cancel by the deadlines listed above will be considered no-shows and are not eligible for a refund or credit.

 


When is my registration considered confirmed?

Registration is not confirmed until full payment is received. All payments must be completed prior to the conference start date. Attendees will not be permitted to enter the conference if registration  has not been paid in full.


Can I register for individual workshops?

Look for our Cvent app coming out in February. Schedules will be posted and individuals will be able to select the classes they wish to join. There will be a limit for seating in each session.


What is included in the cost of my registration?  What about meals?

The registration fee covers all sessions presented at the Conference March 26-27, 2026, and the Awards Luncheon on March 27, 2026. Also included is breakfast on March 26-27, 2026, before the first sessions start. Water and coffee will be available in the morning. There is a small shop in the hotel lobby to purchase any other snacks or drinks you would like. All events will be at the DoubleTree Hotel.


Are vegetarian/gluten free food options available?

We will provide a menu on the website when we have completed our luncheon selection. If you have any food allergies, please notify the conference team.


Are accommodations available?

Yes. Requests for reasonable accommodations or accessibility needs should be submitted to the conference team at least 14 days prior to the conference. While we will make every effort to accommodate requests, availability may be limited based on notice and resources.


What’s the dress code?

The dress code is business casual. Please dress appropriately, and keep in mind that the conference center is often very cold. You will want to bring clothes to keep warm despite the weather outside!


Are hotel rooms available for conference attendees at the DoubleTree?

Yes, conference attendees can reserve their room on line or contact the hotel directly.

Will there be transportation for the off-site hotels to the DoubleTree Hotel?

The conference is going to be at the DoubleTree Hotel. The contract hotel is the location of the conference. There is no off site transportation. We recommend Uber or Lift if you do not have personal transportation.


Are continuing education hours offered?

Continuing education hours, are subject to attendance requirements and session completion. Certificates will only be issued to attendees who meet the stated criteria.

You can earn up to a total of 9.0 CEUs. This year we are offering CEUs for Ethics, Distinct Populations (formerly Cultural Diversity), Human Trafficking, and Supervision for Licensed Social Workers, LCDCs, LPCs, LMFTs and Psychologists. We are offering 1.5 hours Ethics, 1.5 hours Human Trafficking, 6 hours Distinct Populations. To receive credit you must attend the classes that offer these CEUs. Other professions should check with your license board or certifier to see if our Ethics, Human Trafficking, and Distinct Populations count for your licensure.

As of September 2025, BHEC’s website reflects that it is requiring social workers, LCDCs, LPCs, LMFT, and Psychologists license renewal include 3 hours designed to ensure competency when providing services to a distinct population, defined as a group of people who share a common attribute, trait, or defining characteristic of the licensee’s choice. Distinct Populations (DisPop) CEUs will be granted to workshops whose course description and objectives include content covering support in Distinct Population.

The Hardin-Simmons University Social Work Department provides continuing education in accordance with the criteria and standards of the Texas Board of Social Workers, Licensed Professional Counselors, and Licensed Marriage and Family Therapists and Licensed Psychologists under Texas Administrative Code, Title 22, Part 34. § 781.509.

Do I have to be scanned in for CEU sessions?

Everyone will sign a verification form when entering a class. You must ensure that you are signed into every class you attend. Law Enforcement does not have to sign in separately for TCOLE credit, just sign in on the session verification form. Survey completion at the end of each session will be required to receive credit.


How do I get my CEUs?

When class is over, you will receive a code to enter the survey on the Cvent app.  Surveys must be completed for every session attended. A conference certificate will be emailed to you with in thirty business days after conference.  At the end of the conference, please complete the overall conference survey so that we know how we can better serve you.  All attendees are responsible for turning in their own hours for the conference.


How do I access handouts?

No paper copies will be provided unless the presenter provides them. If handouts or notes are provided by the speaker, they will be available on the Cvent app.


 

Can conference details change?

Yes. The Champion for Children Conference reserves the right to modify the agenda, speakers, session topics, or schedule as necessary. Any changes will be communicated to registered attendees as soon as possible.


What happens if the conference is canceled?

In the event the conference is canceled due to circumstances beyond our control (including but not limited to weather events, public health emergencies, or other force majeure events), the conference organizers will communicate next steps regarding refunds or credits as appropriate.


 

Is there a code of conduct?

Yes. The Champion for Children Conference is committed to providing a safe, respectful, and inclusive environment. Harassment, discrimination, or disruptive behavior will not be tolerated. Conference organizers reserve the right to remove any participant who violates this policy without refund.


Will photos or videos be taken at the conference?

Yes. By attending the conference, participants consent to photography, video recording, and audio recording that may be used for educational, promotional, or reporting purposes. Attendees who do not wish to be photographed should notify conference staff on-site.
